Secretary to the Trustees
Overall purpose
The secretary is primarily responsible for the smooth and efficient running of meetings of the trustee board, managing committee and any sub-committees, providing assistance and support to the chair of the board of trustees.
The secretary is also involved in monitoring the requirements affecting the charity and its activities, ensuring that the trustees’ decisions are acted upon, and that all decisions made by the trustees are in accordance with the governing document, reflect the objects of the charity, and continue to provide public benefit.
To ensure that other meetings such as AGM, and events are properly administered
To monitor committee member action points.
Specifically –
To have good listening, oral and literacy skills.
To plan and prepare committee meetings and the AGM with others as appropriate. Plan meeting dates, book rooms, send out notifications, minutes and other papers.
Draw up agendas together with the Chair.
Minute committee meetings or ensure another minute taker is available.
Accurately record decisions and actions in the minutes and report to the next committee meeting on the progress of actions and the result of decisions.
Deal with correspondence, writing letters, emails as agreed at committee meetings, summarizing correspondence/emails received at the next committee meetings and drafting replies as appropriate.
Making arrangements for any necessary reporting to be done, for example the annual report to members and submission of the Annual Return to the Charity Commission.
Ensuring that trustee decisions are implemented in accordance with the charity’s governing document or other internal operational procedures.

Chair
Overall purpose
The chair is primarily responsible for leading the board of trustees.
The chair is also responsible for chairing and ensuring the good conduct of business meetings of the trustee board, managing committee and any sub-committees.
The chair is also involved in monitoring the requirements affecting the charity and its activities, ensuring that the trustees’ decisions are acted upon, and that all decisions made by the trustees are in accordance with the governing document, reflect the objects of the charity, and continue to provide public benefit.
Specifically –
When in attendance, to chair all meetings of the charity.
To plan and prepare committee meetings and the AGM.
To input to strategic planning and recruitment, support safeguarding, promote good governance among fellow charity trustees and act as a figurehead or spokesperson on behalf of the charity when required.
Qualities –
Leadership skills.
To be organized, methodical and assertive.
Good written and verbal communication skills.
Able to work as a team and be committed to the values of Down’s Syndrome – Derby
Vice-Chair
Overall purpose
The vice-chair is primarily responsible for supporting and deputising for the chair in all aspects of leadership of the charity.
The vice-chair is also responsible for chairing and ensuring the good conduct of business meetings of the trustee board, managing committee and any sub-committees when the chair is unavailable.
Specifically –
When the chair is unavailable, chair all meetings of the charity.
To input to strategic planning and recruitment, support safeguarding, promote good governance among fellow charity trustees and act as a figurehead or spokesperson on behalf of the charity when required.

Safeguarding Officer
Overall purpose
The Safeguarding Officer is primarily responsible for being the main source of support, advice and expertise for safeguarding in the charity.
Specifically –
Develop, maintain and promote policies, procedures and safeguarding resources throughout the charity.
Advise on training needs and development and provide advice and support to staff and volunteers.
Manage safeguarding concerns, allegations or incidents reported to your organisation.
Manage referrals to key safeguarding agencies (eg social services or police) of any incidents or allegations of abuse and harm.
Maintain the register of DBS checks and ensure these are up to date and renewed in conjunction with the relevant member of staff, volunteer or trustee as appropriate.

JOB DESCRIPTION
Location: Home based
Accountability: The Project Worker will be employed by Down’s Syndrome – Derby (a Registered Charity) and will report to the Secretary to the Trustees.
Main Responsibilities: To determine and ensure delivery of services to the members of Down’s Syndrome – Derby who have Down’s Syndrome, their families, friends and professionals working in the sphere.
To support the activities of the Trustees and Managing Committee.
Terms and conditions:
· Payment at £12 per hour.
· Normal hours will be 10 per month (to be worked flexibly and to be mutually agreed between the Project Worker and the Supervisor). Home based although attendance at meetings and events at other times and places is a key requirement of the post.
· 5 weeks annual leave per year plus Bank Holidays (pro-rata of weekly hours worked).
· Personal mileage will be paid or the cost of public transport reimbursed when travel is necessary on behalf of the Group.
· Initial appointment for one year subject to the satisfactory completion of a three-month probationary period.
· Due to the significant amount of exposure the post holder will have amongst children and vulnerable adults, an Enhanced DBS check will be required.
Specific duties
· In conjunction with the Trustees and Managing Committee, develop, arrange, manage and facilitate a programme of events and activities tailored for the benefit of our members aged between 15 and 25 years
· Actively engage and manage the volunteers associated with the programme and be the primary point of contact between them and the Charity
· Support and develop established work amongst the charity’s network of young families.
· Build strong relationships with those forming the Group’s executive structure and members.
· Deal with correspondence (both incoming and outgoing) in liaison with the Secretary to the Trustees
· Explore and pursue opportunities for continued and increased funding in order that the programmes continue and additional services may be provided.
· Assist the Trustees and Managing Committee with other duties as requested.
The successful candidate will –
· Be a ‘self starter’, proficient in time and priority management who can work using their own knowledge and initiative with the minimum of supervision
· Empathise with young adults and children who have Down’s Syndrome, their families, friends and associated professionals working within the sphere of Down’s Syndrome
· Have excellent communication skills – written and verbal
· Build strong working relationships and be able to network competently and appropriately
· Display office skills and be able to use a computer and standard Office applications (including Word, Excel, PowerPoint together with Internet Explorer and e-mail)
· Maintain confidentiality at all times
· Be in sympathy with the aims and objectives of Down’s Syndrome – Derby
